Office Administrator/ Customer Service

We are looking for a highly organized and detail-oriented Office Administrator to provide support in our rapidly growing contracting business. This is a part to full time position working 32-40 hours per week. The work hours can be flexible to accommodate your children(s) school schedule if needed. The ideal candidate:

Has 5+ years experience as an office manager or administrator in construction or related industries
Can recognize were processes are needed and help develop SOP’s (Standard Operating Procedures)
Has experience with QuickBooks (Online Edition)
Has the ability to learn and adapt to the CRM we use for estimating
Has the ability to prioritize and multitask
Excellent written and verbal communication skills
Strong attention to detail
A kind and bubbly personality
Proficient in Word, Excel, etc.
Types 75wpm+
Familiar with general office procedures
Proficient with grammar, punctuation, writing, email etiquette, etc.

Responsibilities Include:

Provide administrative and clerical support to project managers
Answer phones, direct calls and greet visitors
Schedule appointments and maintain calendars
Schedule and coordinate staff and other meetings
Sort, distribute and file incoming mail
Prepare communications, such as memos, emails, invoices, reports, and other correspondence
Write and edit documents from letters to reports and instructional documents
Help create and maintain filing systems, both electronic and physical
Manage the backend on accounts, including some collections and light bookkeeping
Take meeting notes during staff meetings
Maintain inventory of office supplies
