We are now hiring an Administrative Assistant for our client that specializes in Industrial Equipment Sales. This is a Contract to Hire opportunity for the right candidate. Duties of the Administrative Assistant include providing support to our client’s managers and employees, assisting in daily office needs and managing our company’s general administrative activities. Our client has been providing high quality industrial painting equipment to the Austin Community for several years. In this role, you will be the face of the company, providing fast and friendly service to customers and staff.
Primary Job Duties:
Answer phones and emails
Schedule appointments and maintain calendars
Schedule and coordinate staff and other meetings
Collate and distribute mail
Prepare communications, such as memos, emails, invoices, reports, and other correspondence
Write and edit documents (letters, reports, and informational documents)
Create and maintain filing systems, both electronic and physical
Manage accounts and perform bookkeeping
Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
Knowledge of office management systems and procedures
Working knowledge of office equipment (printers, multiline phones, fax machines, etc.)
Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
Excellent time management skills and the ability to prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task
High School degree
Additional certification as an administrative assistant or secretary will be a plus
1 to 3 months
