We are seeking a well experienced Administrative Assistant for our US businesses, this position is based remotely
Role Description / Areas of responsibility:
• Extensive calendar management and meeting coordination both externally and internally
• Extensive travel arrangements: coordination of flights, tickets, FX, accommodation, and ground transportation
• Expense processing in accordance with company’s International policy
• Extensive use of Outlook, including inbox management for traveling bankers
• Project administration: correspondence with client parties, creating and maintaining working group lists, project filing and archiving
• Telephone duties including the taking of comprehensive messages and screening call where appropriate
• Entering data into the internal management information system on bankers’ behalf
• Providing absence coverage to other team members as required
• Ad hoc administrative duties
Skills, experience, qualifications, and knowledge required:
• Proven experience of working as an Administrative Assistant
• Sound administration, organizational, and prioritization skills
• Ability to multi-task effectively and to work on own initiative with minimum supervision
• Ability to use own judgment and be proactive
• Effective team player with well-developed interpersonal skills
• Enthusiastic, with the ability to be assertive
• Good awareness of confidentiality
• Organized and detail-oriented
• Flexibility to be productive and comfortable in a number of different situations and environments
• Proficiency in Microsoft Office products
